Submitting documents to the Registrar’s Office

You can submit documents to the Registrar’s Office by post, online or by leaving them in the post box in the City Hall’s lobby.

Please note the following:

  • When using the Registrar’s Office’s services, please remember to mention the registration number of your case (such as HEL 2021-000123) if it is already pending within the City of Helsinki.
  • If you intend to deliver documents by post, please do not use staples because we will scan your documents.
  • If you intend to deliver documents via the internet, please group and name your files to facilitate their processing.
  • You must deliver the documents and their attachments as separate files.

File names

  • Please give your file a clear name representing the file’s content as accurately as possible.
  • File names should also include a detail such as the document date.
  • If your letter includes a numbered list of the attachments, you should add the corresponding number to each attachment’s file name.

Examples of document names

  • Application, 15 November 2021
  • Request for an administrative review, 11 February 2021
  • Attachment 1, Qualification certificate 1 December 2019
  • Attachment 2, Photos of the event 25 October 2016

Supported file formats

  • Text files: PDF, DOC, DOCX, DOT, XLS, XLSX, XLT, XLA, PPT, PPTX
  • Image files: JPG, JPEG, PNG, GIF
  • Video/audio files: MP1, MP2, MP3, MP4
