Administrative Division organizes meetings and provides supporting activities
Duties of the Administrative Division which are manifest to citizens include preparation and publishing of City Council and City Board documents, assistance to visitors and security at the City Hall.
The division is also responsible for various functions in the Administration Centre, including technological equipment and arrangements at meetings, administrative and supporting activities, personnel affairs, transportation, and office, mailroom and information services. Administrative Division participates in regional cooperation and collaborates with domestic and international authorities in the development of administrative operations and coordinates the City’s general security matters and is responsible for the general preparedness planning.
Among the many functions of Administrative Division, the Decision Preparation Unit is in charge of the preparations for City Council and City Board meetings and meeting arrangements. The work includes the preparation of the required documents ranging from agendas to minutes, secretarial services and technical arrangements. In addition, the unit publishes the documents on the Internet. Translation Services handles the translation of the main sections of the documents from Finnish into Swedish or vice versa.
The Office Services Unit’s officers assist visitors at the City Hall and nearby City offices and guide them through the buildings. The officers instruct the audience in City Council meetings and in connection of exhibitions and events. The unit’s staff are also in charge of security, mailroom operations, transportation and other administrative duties in the City Hall and nearby City offices.
The Economic and Personnel Unit is in charge of human-resource and financial management, materials procurement, and evaluation and development of operations. The Information Services Unit is in charge of document management, data acquisition, production of municipal information and archives.
The Safety and Preparedness Unit is in charge of the City’s general coordination and promotion of security matters, the planning of the security strategy and the steering of the total preparedness and readiness, if the issues in question are not administered by some other authority.
All City registrar’s operations were centralized in one office in the beginning of 2011. The centralized Registrar’s Office improves access to information and enables better monitoring of developments in the City. The Registrar’s Office operates as part of the Administrative Division.
